1. Who we are
Dexon Sync Technologies LLP (“Dexon Sync”, “we”, “us”) is a limited liability partnership registered in India. Our office is at Shop No 204, Krishnam Arcade, Olpad Sayan Road, Opp Mali Faliya, Olpad, Surat, Gujarat 394540. LLPIN: ACX-3829. GSTIN: 24AAZFD6925A1ZC.
For people who visit this website or write to us, we decide why and how personal data is used. Under India's Digital Personal Data Protection Act, 2023 (the DPDP Act), that makes us the data fiduciary.
When we run an assistant or other service for a client, the client decides why the data is used and we process it on the client's behalf. Section 8 explains this.
2. What we collect
We collect only what you give us and what we need to reply.
- Enquiry form. Name, work email, phone or WhatsApp number, website, what you need, budget, your message and any file you attach.
- Pilot list form. Name, firm name, city, number of lawyers, work email, phone or WhatsApp number, document types and how documents reach you.
- Newsletter. Your email address.
- Messages to us. Anything you send by email, WhatsApp or Telegram.
The chat helper on this site answers from a fixed set of questions and answers inside your browser. What you type there is not sent to us unless you choose to contact us.
3. How we use it
We use your data to reply to you, prepare a quote, run the pilot list, send the newsletter you asked for, keep business records and meet legal duties.
We rely on your consent, or on a legitimate use the DPDP Act allows, such as replying to a message you sent us. We do not sell personal data. We do not make decisions about you by automated means.
5. Where it is stored
Our website and email are hosted by third party providers. They may store data in India or in other countries. We choose providers with written data protection terms.
6. How long we keep it
- Enquiries: up to 12 months, unless you become a client.
- Pilot list details: until the pilot ends or you ask us to delete them.
- Newsletter address: until you unsubscribe.
- Contracts and invoices: for as long as the law requires.
After that, we delete the data.
8. When we work for a client
When we run an assistant for a client, the client is the data fiduciary and we are the data processor. We act only on the client's written instructions and keep each client's data apart from every other client's.
The page How we handle your data explains where data is stored, who can see it, how long we keep it and how to delete it.
9. Your rights
Under the DPDP Act you can:
- ask for a summary of the personal data we hold about you and who we share it with
- ask us to correct or complete it
- ask us to erase it
- withdraw your consent at any time, as easily as you gave it
- have a grievance heard
- nominate another person to exercise these rights for you
Write to hello@dexonsync.com. We reply within 7 days. If we do not resolve your complaint, you can complain to the Data Protection Board of India.
10. Security
We use encryption in transit, limit access by role and keep a log of who opened what and when. No system is completely secure, so we also keep the data we hold to a minimum.
11. If something goes wrong
If we find a breach that affects your data, we tell you without delay and within 72 hours. We say what happened, what data was involved and what we are doing about it.
12. Children
Our services are for businesses. We do not knowingly collect personal data from anyone under 18. If you think a child has sent us data, write to us and we will delete it.
13. Changes
We update this policy when our practice changes. The date at the top shows the latest version.
14. If you are in the EU, EEA or UK
This section applies when the EU or UK General Data Protection Regulation (GDPR) covers how we use your personal data.
- Who is responsible. For enquiries, calls and contracts with us, Dexon Sync Technologies LLP decides how your data is used. For assistants we run for a client, the client decides and we process the data on their instructions, under a written agreement.
- Why we use your data. To reply to you and prepare a proposal (steps before a contract), to deliver a project (contract), to keep records we must keep by law (legal obligation), and to keep our services secure (legitimate interests). Analytics, if we turn it on, runs only with your consent.
- Transfers outside the EU and UK. We are based in India. When your data comes to us or to a provider outside the EU or UK, we use the European Commission's standard contractual clauses, and the UK addendum where it applies.
- Your rights. You can ask to see, correct, delete or move your data, ask us to restrict or stop using it, and withdraw consent at any time. Write to hello@dexonsync.com. We reply within one month.
- Complaints. You can complain to the data protection authority in your country, or to the Information Commissioner's Office in the UK. We would like the chance to fix it first.
- How long we keep it. Enquiries that do not become projects: 12 months. Project and invoice records: as long as tax law requires.
